Status and availability

Your status tells colleagues, and the phone system, whether you can take a call right now. Set it once and Vocivo does the right thing with calls that arrive while you cannot answer, instead of letting them ring out.

The four statuses

Available: You can take calls. They ring you as usual.
Busy: You are working but cannot be interrupted, such as in a meeting or with a customer. Instead of ringing out, a caller can leave a message with the AI receptionist, and the message waits for you in your voicemail inbox.
Away: You have stepped away for a while, such as at lunch or between sites.
Not available: You are off: out of hours, on leave, or done for the day. Calls follow your own call handling, such as your voicemail or a colleague.

When you are busy, the AI takes a message

Missing a call is worse when the caller never gets to say why they rang. When you are busy, the AI receptionist can answer in your place: it tells the caller you cannot take the call, asks for their name, their message and a callback number, reads it back, and leaves it as text in your voicemail inbox. You see it in the web app and on your phone.

This uses your workspace’s AI receptionist, so it follows the same rules: the greeting your company wrote, the voice it chose, and the minutes included in your plan. See AI receptionist.

Setting your status

You set your status yourself, on the web and in the mobile app, and change it as often as you like. Your working hours under My call handling still decide when your phone rings at all. See People and extensions.

Until the new statuses reach your workspace, the Availability page offers Available, On break, Do not disturb and Offline, and do-not-disturb stops your phone ringing.

What your team sees

Colleagues see each other’s availability, so they know whether to call, transfer a caller to you, or send a message instead. Queues offer calls only to people who are available.
