Getting started with Vocivo

Create your workspace, invite your team, install the apps and make your first call, in about half an hour.

Four things get a company from nothing to a working phone system: a workspace, your people, the apps on their phones, and a first call. The Getting started checklist on your home screen keeps track of the rest, and each line ticks itself once the phone system really has it.

Create your workspace

A workspace is your company’s own phone system inside Vocivo. The person who creates it becomes its owner.

  1. Go to Start free trial on this site.
  2. Choose where your workspace runs: Vocivo Cloud in a data centre you pick, or Self-host on your own server. Your people, calls, recordings, voicemail and messages are stored in that location.
  3. Enter your company name, country and time zone. The country sets how numbers are read and dialled.
  4. Enter your name, work email and a password of at least 12 characters. A memorable phrase works well.

Invite your team

Open People and use Add a person. For each colleague you set:

Name and work email
Where the invitation goes.
Role
Employee, Manager, Administrator or Owner. Most people are employees. Administrators manage phone lines, numbers and routing.
Extension
A short internal number of 2 to 5 digits, such as 1001. Colleagues and callers use it to reach them.
How they sign in first
Send an invitation link is the safer choice. The link expires, and nobody has to relay a password.

Invitations waiting to be accepted are listed under the people, with when each one expires. More on roles, voicemail and forwarding is in People and extensions.

Install the apps

Everyone can call from the web app in a browser. For calls on the move, each person installs the Vocivo app on their iPhone or Android phone. The quickest way to sign a phone in is a setup code:

  1. Install the Vocivo app on the phone.
  2. An administrator opens the person in People and chooses QR code for their phone.
  3. In the app, choose Scan company setup QR and point the camera at the code. The phone is signed in as that person.
  4. Allow notifications, so calls ring even when the app is closed.

The code works once, expires after a few minutes, and carries no password, so it is safe to show on a screen. People can also sign in with their email and password. See Mobile apps for everything the app does.

Make your first call

Calls between colleagues work as soon as two people have extensions: dial the extension from the keypad in the app or the web app. Calls to and from the outside world need your phone line, which is the next step.

  1. Connect your phone line from your provider. It takes about ten minutes.
  2. Point your main number somewhere: a person, a menu or the AI receptionist. See Your main line.
  3. Call your main number from your own mobile and check it rings where you expect.
  4. Call your mobile from the app and check the other person sees your company number.
