Meetings

Schedule video and audio meetings, invite guests by link, let people dial in with a PIN, and record with a transcript afterwards.

Vocivo includes video and audio meetings for your team and your guests. Schedule them under Sessions, join from the web app, the mobile app or a browser link, or dial in from any phone.

Schedule a meeting

  1. Open Sessions and create one: a subject, a time and the people to invite.
  2. Invite colleagues, and guests from outside the company by email.
  3. Everyone gets an email invitation with a calendar file, the link and, if you use dial-in, a PIN.

Guests need no account and no app. They open the link in a browser.

Joining and admitting guests

Guests wait until the organiser admits them, even with an invitation or code, so nobody wanders into your meeting uninvited. Colleagues join from the web app or from the mobile app.

In the meeting, people can use video and audio, and raise a hand. Sharing a screen needs the organiser’s permission.

If a link has been passed around too widely, the organiser can issue a new link or switch link sharing off. Removing someone from a meeting also changes its PIN, so they cannot dial back in.

Dialling in by phone

People on an ordinary phone can dial in and enter the meeting’s PIN. For this, point one of your numbers at meetings dial-in on the Numbers page. See Numbers and caller ID.

Recording and transcripts

The organiser can record a meeting. While it records, everyone in the meeting sees a banner saying so. Afterwards the recording is on the Sessions page, with a written transcript and captions you can read, play along with or delete.

Conference rooms

For a standing call, such as a daily stand-up, create a conference room under Conference rooms and give it a PIN. Point a number at it, and people can dial in any time.

Video in a call with a colleague

During a call between two colleagues, either can offer to switch on video. The camera only opens once the other person accepts.
