Questions and answers

Do I need to buy numbers from Vocivo?

No. You keep the numbers you already have with your carrier and connect your existing SIP trunk. Vocivo is the phone system on top of it. Your carrier bills you for calls directly.

Which carriers work with Vocivo?

Any carrier that offers a standard SIP trunk, either IP-authenticated or registration-based, so you can keep the SIP trunk provider you already use in your country. Each trunk can be set to write numbers the way its carrier expects.

What port and codecs does Vocivo use with my carrier?

Carriers most often signal on UDP 5060, and each trunk has its own port setting. Vocivo offers the carrier the codecs set on the trunk, PCMA and PCMU by default, plus telephone-event for keypad tones.

Can I keep my old phone system running while I move?

Yes. With a second authorised address at your carrier, Vocivo and your old system can run side by side and numbers can move one at a time. The 3CX migration checklist on our blog walks through it.

Can each person call out with their own number?

Yes. Outgoing caller ID is set per person and per number, so a direct line can present itself while the main line presents the company number.

What does the AI receptionist do?

It answers the numbers you switch it on for, knows your hours, holidays and team, learns from your website, transfers callers to named extensions, takes written messages into a person’s voicemail inbox, and can call your webhooks. Every number has its own on/off switch.

Which AI powers the receptionist?

OpenAI’s GPT-Live realtime voice model supplies the conversation. The caller’s voice audio is processed by OpenAI, so say so in your greeting and check local rules on announcing automated answering.

How are AI minutes counted?

Each plan includes AI receptionist minutes every month: 50 per user on Starter, 200 on Business and 500 on Scale. Minutes beyond that are $0.25 each.

Will calls ring on my phone when the app is closed?

Yes. The iOS and Android apps show incoming calls like normal phone calls, and a push notification wakes the phone from the lock screen when the app is not running.

How does someone set up their phone?

Install the Vocivo app and scan the QR code shown in the web app. Sessions stay signed in on a phone that is in use, so nobody retypes a password every morning.

Is there a free trial?

Yes, 14 days on any plan. A card is required to start the trial.

Who pays for the calls?

Calls over your own trunk are billed by your carrier. Where Vocivo carries calls itself, per-country international rates for mobile and landline are published, and you pay from a wallet you top up.

Where is my data stored?

In the data centre you choose when you create your workspace, with DigitalOcean or AWS, or on your own server if you self-host. Your calls, recordings and messages stay in that location.

What does self-hosting need?

A fresh Ubuntu 24.04 server with a static public IPv4 address, two DNS records, and a Vocivo licence key. One command installs everything, and the vocivo command handles updates, rollback, backups and health checks.

Can Vocivo call 911 and other emergency numbers?

Yes. Emergency numbers such as 911, 999, 112 and 997 are never blocked by calling policy, go out over your carrier with a callback number and a dispatchable location, and alert your designated contacts. Test emergency routing with your carrier before you rely on it.

Getting started

Five guides to a working phone system

  1. 01

    Connect your SIP trunk

    1. Collect your carrier details: IP authentication or registration, server address, port, codecs and number format.
    2. In the web app, open SIP trunks and add the trunk.
    3. Set how the carrier writes the number dialled and the caller ID, and the carrier country.
    4. Deploy the gateway, then check the trunk status. An IP-authenticated trunk does not register, and says so.
  2. 02

    Point each number somewhere

    1. Open Numbers. Numbers from a new trunk arrive unassigned.
    2. Choose a destination for each: a person, ring group, queue, IVR menu or the AI receptionist.
    3. Set business hours and holidays if the number should route differently when you are closed.
    4. Call each number from an outside phone and confirm it rings the right place.
  3. 03

    Add your team

    1. Invite people by email. Each gets an extension.
    2. Set each person’s outgoing caller ID.
    3. Group people into ring groups or queues.
    4. Set the calling policy: international calling, allowed countries and blocked prefixes.
  4. 04

    Set up a phone

    1. Install Vocivo from the App Store or Google Play.
    2. In the web app, open the phone setup QR code.
    3. Scan it with the app. The phone is ready to call.
    4. Allow notifications so the phone rings from the lock screen.
  5. 05

    Turn on the AI receptionist

    1. Write the greeting, and let it learn a brief from your website.
    2. Add actions: extensions it may transfer to, a mailbox for messages, any webhooks.
    3. Publish, then test from your own mobile.
    4. Switch it on for the numbers it should answer.
