AI receptionist for small business: when it pays off, and how to set one up well
An AI receptionist can answer your business number, hold a real conversation, and put callers through or take a message. For a small business that cannot staff a front desk all day, that is a genuine change. It is also easy to set up badly. Here is how to tell whether it will pay off for you, and how to set it up so callers are glad it answered.
Three things that get called “automated answering”
- A menu (“press 1 for sales”) is a fixed recording and a set of keys. Cheap and predictable, but callers have to fit your categories.
- An answering service is a person, somewhere else, reading from your notes. Warm, but paid by the call or the hour, and limited to their hours.
- An AI receptionist understands what the caller says in their own words, answers from what you have told it, and takes one of a few actions you allow.
Where it pays off
- After hours and at lunch. Calls still arrive when nobody is there. The receptionist can say when you open, answer simple questions, and take a message for the morning.
- When everyone is busy. In a workshop, a clinic or on site, stopping to answer the phone costs you. The receptionist can take the call and put it through only when it needs a person.
- Repetitive questions. Opening hours, where you are, whether you do a particular job. If these fill your phone day, they are exactly what it handles well.
- Routing. A caller who says “I need to talk to someone about my invoice” reaches accounts without learning your menu.
Where a person is still better
Complaints, bad news, anything sensitive, and anything that needs judgement or a payment. Plan for these: tell the receptionist to put such callers straight through, or to take a detailed message and promise a call back.
Decide with one week of calls
Before you buy anything, keep a simple log for a week. For each call, note:
- the time it came in;
- whether someone answered, and after how long;
- what the caller wanted, in three or four words;
- whether a person was really needed to handle it.
If many calls are unanswered at predictable times, or many of them are the same few questions, an AI receptionist will earn its keep. If almost every call needs your expertise, a good ring group and a mobile app may do more for you.
Setting it up well
1. Write an honest greeting
Say who you are and that the caller is speaking to an automated assistant. Many callers are comfortable with that when they are told, and in many places you must tell them. Keep it short.
2. Give it a brief, not a script
Describe your business in plain sentences: what you do, where you are, what you do not do, and what callers most often ask. Vocivo can draft this from your website, which you then review. The receptionist only knows what you give it, so fill the gaps your website leaves.
3. Decide who it may put through
List the people and teams it may transfer to, by extension. A receptionist that can only reach your list cannot be talked into calling a number a stranger reads out.
4. Choose where messages go
Pick the person whose inbox receives written messages, and check they will see them. A message nobody reads is worse than a voicemail.
5. Tell it what to do when it does not know
Take a message, or put the caller through. Never guess.
Test it like a stranger would
Before you switch it on for real, call it from your own mobile and try:
- asking for someone by first name only;
- asking for someone who does not work there;
- asking a question your website does not answer;
- calling outside your opening hours;
- leaving a message with a phone number, and checking it arrived correctly;
- speaking fast, mumbling, or changing your mind halfway through;
- asking to speak to a human.
Listen to the whole call each time. Fix the brief, and test again. Then switch it on for one number first, such as your main line, before the rest.
What it costs
AI receptionists are usually priced by the minute of conversation. Compare that with what an unanswered call costs you, which your one-week log will help you estimate. Vocivo includes AI receptionist minutes in every plan; the pricing page shows how many, and what extra minutes cost.
